Course Cancellations
If Coach Advancement by Tracy Sinclair cancels your course, your fee will be refunded in full.
Refunds and Cancellation Charges
Please choose carefully. All requests for cancellation must be confirmed in writing. For cancellation requests received more than 30-days prior to the start of the programme, full fees will be refunded. For cancellation requests received between 15 and 30-days prior to the start of the programme, 50% of the fees will be refunded. For cancellation requests received less than 15-days before the start of the programme, or if a Customer or Delegate fails to attend, all of the course fees will be forfeited.
Deposit only paid/Withdrawals
All requests for withdrawal from a programme must be received in writing. For withdrawal requests received for a programme commencing in more than 14 days, the deposit will be returned less a £100 processing fee. For withdrawal requests received for a programme commencing in less than 14 days the deposit is non- refundable.
Transfers
Transfers to other courses may be organised. If a transfer is required due to a change in your circumstances, Coach Advancement by Tracy Sinclair will make every effort to arrange an alternative programme for you, if available and if appropriate for your development requirements. You must provide notice in writing at least 5 working days prior to commencement of the course for which you are registered. A £100 plus VAT (if relevant) processing fee will apply to all transfer requests. If the transfer option is not utilised, the cancellation terms will apply.
Payment by Installments
Payment by installments for Self-Funding students is possible upon request for some of our programmes. Please contact us to discuss if instalments options are available for your programme. However, our usual terms are that full payment for a programme is required 30-days prior to the start of the programme. For registrations within 60-days of a programme start date, the instalment option may therefore not be feasible, unless special circumstances prevail. Instalments options are not available for Company-Funded students.
Student Conduct
Each student is expected to abide by the ICF Code of Ethics and Professional Standards from the beginning, and throughout their training.
GDPR Programme Policies
This is to comply with section 6(1)(b) of the GDPR, where processing of data is necessary for the performance of a contract with the data subject or to take steps to enter into a contract.
Your privacy is important to us and we want you to know that we will never pass on or share your data without your express permission to do so. To that end, when agreeing to our GDPR when registering for a programme, you are agreeing to the following:
Coach Advancement by Tracy Sinclair (Tracy Sinclair Ltd.) is permitted to hold your personal and professional data (name, address, telephone number, mobile number, email, plus any information contained in notes and email exchanges associated with the piece of work for which you contracted with Tracy Sinclair Ltd.) for the duration of our business relationship, plus a maximum of 36 months, for the uses stated.
Tracy Sinclair Ltd. is permitted to keep a log of your personal and professional data (as outlined above) and may share this data with the International Coaching Federation (ICF) in the event of being asked for client/mentee/supervisee data for sampling/credential application or renewal verification purposes.
Tracy Sinclair Ltd. is permitted to keep a log of your personal and professional data (as outlined above) for continuous professional development purposes.
Tracy Sinclair Ltd. is permitted to periodically send you information about programmes, services and events which might be relevant and appropriate for your interest or reference.
Tracy Sinclair Ltd. is permitted to periodically send you an update or a newsletter of upcoming activities and/or articles relevant and appropriate for your interest or reference.
Attendance Policy
Full attendance of the live portions of the programme is a requirement in order to receive the full amount of ICF CCEs/ACSTH accreditation allocated to any programmes. Should you not be able to attend fully, we will liaise with you regarding how you can either catch-up or receive a certificate of completion with reduced CCEs based on the amount of the programme that was missed. If a catch-up plan is required with further input from the trainers, there may be an additional cost.
In addition to full workshop days and webinars, there will be some individual, peer and group work in between modules. This should not exceed an average of 1.5 hours per week and these assignments are part of the accredited curriculum. Therefore, full completion of all assignments is needed to receive the full amount of ICF CCEs/ACSTH accreditation allocated to applicable programmes.
Attendance of an ICF Accredited Coach-Specific Training (ACSTH) Programme
- The Science and Art of Coaching programme holds ICF ACSTH Accreditation and therefore comes with certain attendance criteria in order to meet the ICF's accreditation requirements.
- Students need to attend at least 60 hours of coach specific training to be able to receive the ICF ACSTH certificate (this is necessary if students want to progress towards an ICF credential).
- It is therefore highly recommended that students take steps to attend the whole course wherever possible.
- If a student is not intending to pursue an ICF Credential, it doesn't matter quite so much if some time is missed, however they obviously still potentially miss out on some of the learning.
- Based on the length of this course, this means that a student can only miss up to a maximum of 16 hours in total across the whole programme (this includes the practice work in between modules and all webinars).
- Also, if a student misses the practice work with peers in between modules, that would also potentially impact the number of learning hours of their colleagues too, unless those colleagues do extra practice to make up the 3 hours needed in between each module for all students.
- Finally, to receive the ICF ACSTH certificate, each student must be observed by a tutor in their coaching practice at least 5 times across the duration of the programme. This creates a tight schedule and so it is highly recommended that all practice sessions are attended in order for the student to meet this ICF requirement.
- If time does have to be missed for unavoidable reasons, students have a number of options to address this including:
- missing the time and not making it up
- missing the time and making it up informally by seeking the support of colleagues to share notes or offer a debrief etc
- missing the time and making it up formally with the tutor in order to make up the required number of hours for ICF requirements (this option may incur additional cost). - If a student does need to miss any attendance of the programme, it is therefore highly recommended and appreciated that the tutor is advised as soon as possible so that they can offer advice and options for how to proceed based upon how much time is going to be missed and what is the nature of the content etc.
- Upon completion of the programme an ICF accredited certificate will be issued to reflect the total number of hours that the student attended.
